Programs Assistant

POSITION: Full Time

 

The Programs and Events Assistant is responsible for managing details and executing systems for audience engagement that support a superlative visitor experience at NCAI. 


DUTIES AND RESPONSIBILITIES

 

  • Assist the department with implementing strategies for successful and engaging events within budget

  • Prepare monthly calendar of events for the gallery

  • Produce detailed proposals for events (including timelines, venues, suppliers, legal obligations, staffing and budgets)

  • Manage event logistics: contracts, registration, communications, website updates, and payment processing.  

  • Coordinating education programs and events with partner organizations.

  • Assist with artist management and communication before, during, and after all events/ residencies.  

  • Create and maintain post-event systems internally and externally. This includes creating and disseminating information to interested departments. 

  • Liaison with local and international artist, galleries, and organizations, helping to maintain good practices and relationships;

  • Enhance and develop connections with local and international non-profit organizations, galleries, and artists.

  • Support department administrative work including mailings, hiring equipment, deliveries, and accounting.

  • To keep informed and abreast of trends and current happenings in the local arts scene.  

  • Other duties as assigned.

  • Proper resource utilization

  • Promote Brand awareness

  • 100% compliance on all company policy & procedures

​

JOB SPECIFICATIONS

​

  • Microsoft Office Suite proficiency.

  • Extensive knowledge and skills on events planning and management. 

  • Language skills – must be proficient in at least two local languages (one to be Kiswahili) and also fluent in oral and written English. 

  • Good understanding of the local art scene.

 

KEY COMPETENCIES

​

  • Ability to be a high-functioning member of a team. 

  •  Database management proficiency.  

  • Familiarity with event planning.

  • Knowledge of technological communications and website familiarity

​

RELEVANT EXPERIANCE

 

  •  Two years experience in full time work.
